Privacy Policy

1. Data controller
Special Transporter, based in Purmerend, the Netherlands, is the data controller for the processing of your personal data as described in this privacy policy. Chamber of Commerce 71937927 (registered with the Amsterdam Chamber of Commerce). Reachable at specialtransporter@gmail.com or 06-222 90 890.
2. Data we process
We only process the personal data necessary to handle your transport request and carry out the transport:
- •Name, company name, phone number and email address (contact details)
- •Pickup and delivery address, including contact person on site
- •Transport details such as weight, dimensions, description and preferred date/time
- •Communication you have with us by phone or email
3. How your request is processed
Our vehicles are equipped with GPS. During transport, the location of the vehicle is recorded and tracked. Because a vehicle is usually driven by one fixed driver, a vehicle location may in some cases be indirectly traceable to that driver or to other persons. We do not systematically link vehicle locations to your personal data, but we do not rule out that location data may qualify as personal data in a specific case. Upon request, we can provide you with location information during transport as Track & Trace.
When you fill in the transport request form on the website, your data is sent via a secure connection and delivered to Special Transporter by email. We do not store your request in a database on the website; processing takes place via email communication and our administration.
4. Why we use your data (GDPR grounds)
We process your personal data on the following legal grounds:
- •Performance of a contract (Art. 6(1)(b) GDPR) — to assess your request, plan and carry out the transport.
- •Legal obligation (Art. 6(1)(c) GDPR) — to comply with fiscal and administrative retention obligations.
- •Legitimate interest (Art. 6(1)(f) GDPR) — for business communication and security of our services, insofar as your interests do not override ours.
5. External processors
For the processing of your request, we use:
- •Base44 — the platform on which this website and the transport request form run; Base44 handles the technical forwarding of the form to our email. The precise processing role of Base44 follows from the agreement between Special Transporter and Base44; insofar as it concerns the request data you entered, Base44 processes it on behalf of Special Transporter.
- •Email provider (Gmail/Google) — for receiving and conducting email communication about your request. The processing role of Google follows from its own terms; insofar as it concerns the content of your request, Google processes this data on behalf of Special Transporter. Google may act as data controller for its own purposes (such as securing its service) under its own terms.
- •OpenRouteService — for calculating the distance between pickup and delivery address. The entered addresses are processed for this purpose; the processing role of the provider follows from its own terms.
- •Accounting software — for the financial administration of your order. The processing role of the provider follows from the agreement with Special Transporter.
6. Retention period
We retain your data no longer than necessary for the purpose for which it was collected. For the fiscal administration, the statutory retention obligation of seven years applies. Transport files and email communication about a carried-out order are retained insofar as necessary for settlement and any liability, and thereafter insofar as the fiscal retention obligation requires it. Loose requests that do not lead to an order are not retained longer than reasonably necessary to handle your question. The exact retention periods for transport files and loose requests are still under review at Special Transporter; once established, they will be included here. For specific questions, please contact us.
7. Security
We take appropriate technical and organisational measures to protect your data against loss or unlawful processing. Our communication and administration are handled with due care.
8. Cookies and analytics
This website does not use analytics, advertising or tracking cookies and no tracking pixels; no profiling takes place. The site may use functional cookies or local storage that are strictly necessary for the operation of the page (such as remembering the display state of menus). This data is not used to track you elsewhere.
9. Your rights
Under the GDPR, you have the right to access, correct, delete, object to, restrict the processing of, and port your personal data. You also have the right to lodge a complaint with the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl) if you believe we process your data incorrectly. For requests, contact us at specialtransporter@gmail.com or 06-222 90 890.
